OvaFlow

Labs, witnessing & pharmacy

Every signal, a named owner.

Results, witness checks, tank signals, prescriptions and authorizations arrive from systems the lab and pharmacy already run. OvaFlow is designed to give each one an owner and a next step, while the decision stays in the source system and with qualified staff.

Where each system sits

Four kinds of system. One owner in view.

The labs, witnessing, pharmacy and benefits systems a clinic already runs, each in its own layer, with one companion layer designed to work beside them.

Each layer stays in its own system. OvaFlow is designed to work beside them as a modeled companion layer.

Third-party names and logos are trademarks of their respective owners, shown to illustrate systems commonly used in IVF clinics. No affiliation, endorsement or live integration is implied. nAbleIVF, eIVF and Artisan appear as modeled workflow examples.

The lab decides. The pharmacy dispenses. OvaFlow keeps the owner in view.

Lab determinations, witnessing and specimen disposition stay with qualified personnel and the lab's own systems. OvaFlow is not the primary witness or inventory system.

Lab, cryo and long-term continuity belong to a later phase of the product, even though prototype walkthroughs of them exist.

Witnessing & cryo

Handed to the witness system, not done for it

Witnessing and custody stay in the lab's own systems, done by qualified staff. Play the duplicate-barcode hold from the lab walkthrough to see where OvaFlow stops.

  1. A duplicate barcode on Alex Chen's andrology specimen. Review stops immediately and the task gets a named owner: the andrology lab.

  2. OvaFlow hands the two-person barcode check to the lab's electronic witnessing system. It does not perform or record the check.

  3. Two qualified lab staff complete the verification in nAble Witness. Only that record closes the task.

Pharmacy & eRx

Prescriptions and specialty pharmacy

Prescriptions stay in the clinic's own e-prescribing. Clarifications go to the prescriber, and a delivery counts when the patient says it arrived.

Benefits, education & consent

Benefits, education and consent

Authorizations, education and consent are completed where they live. OvaFlow shows what is still open before a start date or a procedure.

Stays in their systems

Laboratory regulations, custody & specialty pharmacy

Laboratory, custody and pharmacy safeguards across the IVF ecosystem

An IVF cycle depends on outside reference labs, preimplantation genetics labs, electronic witnessing stations, liquid-nitrogen cryostorage monitors, e-prescribing networks, specialty pharmacies, fertility benefit managers and eConsent platforms. Each is its own authority.

Signal-to-owner lifecycle · Five external systems

How lab, witnessing, cryostorage and specialty-pharmacy signals reach a named owner and wait for source-system proof

Fictional patients Jordan Patel, Alex Chen and Elena Rivera · OvaFlow never replaces electronic witnessing, cryostorage alarms or e-prescribing; it keeps every open signal assigned until the authoritative system records completion.

Held on external confirmationPhysician sign-off requiredHard stop · Lab witness systemPatient receipt confirmed
  1. Signal 01 · Reference LabOwner: Lab coordinator

    Quest Diagnostics / Labcorp [4]

    Jordan Patel · Carrier screen

Specimen triggers an accession hold for a missing test code on the requisition.

    What closes the signal

Sending the corrected requisition does not close the task; it closes only when the lab confirms acceptance.

  2. Signal 02 · PGT GeneticsOwner: Dr. Mira Lee, MD

    Igenomix / Juniper Genomics [5]

    Jordan Patel · Embryo cohort

An amended PGT report arrives for an embryo cohort (including an embryo with two biopsy records).

    What closes the signal

Linked to the exact biopsy ID; embryo transfer planning is held until Dr. Lee documents review in the EMR.

  3. Signal 03 · WitnessingOwner: Andrology lab staff

nAble Witness / RI Witness [1][2]

    Alex Chen · Andrology specimen

Incoming specimen presents a duplicate barcode label before laboratory processing.

    What closes the signal

Clinical review halts immediately; handed to nAble Witness where two lab staff record verification.

  4. Signal 04 · CryostorageOwner: Embryologist on call

    TMRW / Tank alarm telemetry

    After-hours storage monitor

Storage telemetry signal arrives alongside the laboratory's primary alarm call tree.

    What closes the signal

Kept open under the on-call embryologist until the lab confirms tank stability in its monitoring system.

  5. Signal 05 · Pharmacy & PayerOwner: Financial & pharmacy coordinators

    Progyny / Carrot + Freedom / FuzeRx [6][7]

    Elena Rivera · Trigger shipment

Prior authorization tracked against stimulation Day 1; refrigerated trigger delivery tracked before trigger night.

    What closes the signal

Courier “delivered” scan never closes the task; closes only when Elena confirms the medication is in her hands.

No premature closure: Sending a corrected requisition, receiving a courier scan, or paging an on-call rotation never marks a task done. Each signal closes only when the reference lab, witness station, tank monitor or patient confirms the outcome.
Laboratory & pharmacy standardsESHRE & ASRM witnessing, 21 CFR Part 1271 lot lineage, PGT amendments & cold-chain eRx
ESHRE & ASRM Witnessing [1][2]

Double witnessing and continuous specimen traceability

ESHRE and ASRM laboratory guidelines require independent double witnessing—either by two qualified embryologists/andrologists or a validated RFID/barcode electronic witnessing system (such as nAble Witness, CooperSurgical RI Witness or Vitrolife)—at every critical gamete and embryo transfer step. OvaFlow never performs or replaces a witness check.

21 CFR Part 1271 & Lot Recalls [3]

Donor eligibility, quarantine and media lot lineage

Federal human cells, tissues, and cellular and tissue-based product (HCT/P) regulations (21 CFR Part 1271 Subpart C) govern donor-eligibility determination, quarantine labeling and summary-of-records review before clinical use. When a culture-media lot recall or donor update arrives in our donor and lot-recall walkthrough, OvaFlow traces affected embryo cohorts so the lab director reviews each record.

PGT & Reference Labs [4][5]

Accession holds, dual-biopsy lineage and amended genetics reports

Reference labs (Quest Diagnostics, Labcorp) may place an accession hold when a requisition is incomplete, while PGT labs (Igenomix, Juniper Genomics) may issue amended ploidy or single-gene (PGT-M) reports or second-biopsy results. OvaFlow assigns each signal to a named owner and blocks transfer planning until physician sign-off.

eRx, Cold Chain, Benefits & Consent [6][7][8]

Surescripts clarifications, cold-chain delivery, prior auth and per-cycle eConsent

Surescripts RxChange requests return to the prescriber; Freedom Fertility Pharmacy and FuzeRx cold-chain trigger deliveries stay open until the patient confirms physical receipt; Progyny and Carrot authorizations are tracked against stimulation start; and EngagedMD consents are verified for the current cycle attempt rather than carried over from a prior cycle.

Questions

Laboratory, witnessing & pharmacy questions

Frequently asked questions5 questions on clinical authority, verification and pilot boundaries
Is OvaFlow an electronic witnessing system or cryostorage inventory record?

No. Electronic witnessing (such as nAble Witness, CooperSurgical RI Witness or Vitrolife) and cryostorage inventory and tank alarm systems (such as TMRW Life Sciences) remain the authoritative laboratory systems operated by qualified embryology and andrology staff. OvaFlow only surfaces open signals, assigns a named owner and waits for the lab's system to record completion.

Why doesn't a courier tracking scan close a specialty-pharmacy medication delivery task?

Refrigerated fertility medications—especially hCG or GnRH-agonist trigger shots—are time- and temperature-sensitive. A package left at a lobby desk or wrong apartment door can derail a retrieval cycle. OvaFlow keeps the delivery check open until the patient confirms they physically received and inspected the medication.

How are amended PGT reports or embryos with two biopsies handled?

In IVF embryology, a blastocyst is occasionally re-biopsied if an initial trophectoderm sample yields an inconclusive result, or a genetics lab may issue an amended report. OvaFlow binds each report to its exact embryo and biopsy identifier and requires documented physician review before any transfer workflow can proceed.

Can a signed consent from a patient's previous IVF cycle carry over automatically?

No. Procedure and cryopreservation consents in platforms such as EngagedMD or the clinic's EMR are scoped to a specific cycle attempt and co-signer pair. In our multi-party consent walkthrough, an older cycle's consent never satisfies the current cycle's readiness gate.

Which product phase includes the lab, witnessing and cryostorage workflows?

As noted on every lab walkthrough card, deep embryology lab, witnessing, cryostorage and long-term continuity workflows belong to a later product phase after the initial daily-care coordination pilot.
